How to automate the scheduling stages

Once you've created a job, the next step is to automate your scheduling stages. This will help you efficiently move candidates through the process and send notifications to the hiring manager to approve their availability.


To set up automated scheduling stages, start by selecting the main interviewer or hiring manager (the host of the meeting) and any other participants. You can also customize each scheduling stage to fit the specific needs of your job.

Here's how to automate the scheduling stages:

  1. Go to the desired scheduling stage for your job.

  2. Click on the three dots and choose "Automate."

  3. Select "+ New" to create a new automation.

  4. Give your automation a name.

  5. Click the gear icon and choose "Individual Interview."

This will open the scheduling form for this stage. Most fields will be prefilled, but you’ll need to fill in the required participants.

  1. Complete the scheduling form by:

    • Assigning a hiring manager as the host and selecting other participants.

    • Customizing the format, duration, and any other necessary fields.

    • Click "Set," then "Add," and finally "Save."

⚠️ Please note: You must select at least one interviewer as the host, or the stage won’t be automated.
