Workflow Overview

Step 1 - Integrate myInterview and SmartRecruiters

Step 2 - Create question templates within myInterview

Step 3 - Set your organization's branding and communication templates within myInterview

Step 4 -Create a new stage in your hiring process called ‘Video Interview’ in SmartRecruiters

Step 5 -Invite candidates via one of three ways within SmartRecruiters

  • Manually trigger an invitation.

  • Enable auto-triggered invitations

  • In-line assessments

Step 6 -myInterview will then send the invite Email and SMS (not for the in-line assessment) to the candidate.

Step 7 - The completed candidates video interview is viewable within SmartRecruiters

Integration setup

Integration setup and enablement in myInterview platform

  1. Within myInterview, select your company name, then select Integrations.


  2. Select SmartRecruiters.

  3. Copy the API Key provided.

  1. Navigate to SmartRecruiters, Settings, Apps & Integrations, Select myInterview.

  2. Select Connect.

  3. Accept the scope of the integration, you will be redirected to a login window.

  4. Paste the API Key copied from myInterview (Step 3 above).

Setting up myInterview Question Templates

In order to send the appropriate interview to your candidate, the question templates need to be set and linked to your SmartRecruiters job. You can set up as many question templates as you require. If you're new to myInterview check out this Article on templates.

Branding

You can customize your interviews by selecting your own logo, background, colors and adding an introduction video. If you're new to myInterview check out this Article on branding.

Customizing Messaging to Candidates

Within myInterview you can set up the following messaging across the invitation journey for candidates:

  • Invite Email (Email the candidate receives inviting them to their video interview)

  • Invite SMS (SMS Message the candidate receives inviting them to their video interview)

  • Reminder Email (If automated reminders are enabled, the email sent to gently nudge candidates)

  • Thank You Email. (Confirmation email the candidate receives after completing their video interview)

Within each template, you can customize the message that candidate’s will receive across the job for your account. Please ensure to ‘Set this template as default’

Integration Workflow - Inviting Candidates

You can invite candidates via one of three ways within SmartRecruiters

  • Manually trigger an invitation.

  • Enable auto-triggered invitations

  • In-line assessments

Manually Triggering an Invitation from SmartRecruiters

  1. Set up a hiring process with video interview configured within a stage.

  2. Create a Job which matches that hiring process.

  3. Once a job is created and candidates have applied, you can change the status of the candidate to video interview.

  4. Browse templates under the assessments section.

  5. Select the myInterview template you would like to use.

  6. myInterview will then send a email and SMS invite to the candidate. A job will also be created within the myInterview platform.

  7. Under the assessments section you will be able to see the invite has been sent.

Enable auto-triggered invitations

  1. Set up a hiring Process with video interview configured within a stage.

  2. Configure assessments under the video interviewing stage and select previously created myInterview templates

  3. Once saved the templates will be available to be used within the hiring process

  4. Select the myInterview template you would like to use and toggle to turn on the auto-trigger.

  5. Create a job which matches that hiring process.

  6. Once a job is created and candidates have applied, you can change the status of a candidate to video interview.

  7. This will then auto-trigger the myInterview invite to send with the previously selected template.

  8. myInterview will then send the Email and SMS invite to the candidate and create the job within the myInterview platform.

  9. Under the assessments section you will be able to see the invite has been sent.

In-line assessment

In-line Assessment allow candidates to submit their myInterview video at the time they apply for a role.

  1. To set up the in-line Assessment select inline assessment as part of the hiring process.

  2. Select the myInterview template you would like to use.

  3. Create a job which matches that hiring process.

  4. When candidates then applies for the role, they will be asked to do a pre-hire assessment.

  5. They will be directed to complete the myInterview video.

Viewing Candidates within SmartRecruiters

  1. Once a candidate has completed their video (regardless of the way in which they were invited).

  2. The video will be viewable under assessments within the candidate profile.

  3. The video is accessible without having to log into the myInterview platform and the link can be shared.

Additional Tips: Editing a myInterview job from within SmartRecruiters

To edit or change the newly created job and assessment including:

  • Name of the interview

  • Questions the candidate will respond to.

  • Deadline

  • Introduction video

Click on the paperclip under Assessments as shown to the right to activate this screen. Select save changes after each edit.
